Thank you for your interest in the role of Clerk for Woodcote Volunteers. It is a very enjoyable
position and your role is central to the smooth running of the committee meetings.
The Clerk needs to have good written and verbal communication skills, be organised and enjoy
meeting and interacting with fellow volunteers.
You should be confident around technology and be conversant with the Microsoft Office
programs or equivalent.
Please note, our office is on the first floor of the Community Centre and as you will need to go
there on occasions, will need to be able to mount the stairs (we have two handrails on either
side of the staircase, which is unfortunately not suitable for the installation of a stair lift).
If you are not already a volunteer with us, you need to have a DBS check and agree to our
confidentiality and other policies.

Duties
Paperwork for AGM – Write the Agenda in collaboration with other committee members. Send
out meeting paperwork to all members by email. Take minutes of meeting and afterwards,
write and circulate the minutes.
Paperwork for other Committee meetings held 4-5 times a year – Write Agenda and send to
committee members. Take minutes of the meeting and subsequently, write up minutes of the
meeting. Circulate minutes by email.
Keep old paperwork, minutes of meetings etc in the locked filing cabinet in the office.
You are likely to spend 1-2 hours per week in the two weeks around the time of committee
meetings undertaking this role, a little more for the AGM.
